FAQ
Questions, answered
Quick answers about ordering custom embroidered caps. Still wondering? Email minotaurembroidery@gmail.com.
Is there a minimum order?
No. One cap is fine. The price per cap drops at 12, 24 and 48 caps.
Which caps can I choose?
Forty-five styles, including youth and beanie sections and a true fitted cap for kids' teams, from Richardson, Yupoong, Flexfit, Valucap, Adams, Sportsman, Kati, Zapped Headwear, Pacific Headwear, Cap America, ANYROPE and Gelante: truckers, snapbacks, camo and rope caps, fitted caps, dad hats (including a budget pick), beanies and XL caps for bigger heads, shown on our caps page with a cap guide that explains panels, profiles, bills and backs. Want something else? Choose "Build my own spec" or "Other" in the order builder and we'll source it.
What files can I send?
The best files are a PNG with a transparent background, a high-res JPG, a PDF, or a vector file (SVG, AI or EPS). DST and PES embroidery files work too, and a sketch or clear photo is fine to start. Simple, bold designs stitch best, and tiny text under about ¼ inch (0.25 in) tall may not stitch cleanly. We'll always send a digital proof first. The order builder takes up to 3 files, 8 MB total. Bigger files? Email them to minotaurembroidery@gmail.com.
Which logos work for 3D puff?
Bold, simple shapes and thick lines, about 5 mm (3/16") or wider. Tiny text and fine detail don't puff well, so we'll tell you if a design is better flat. 3D puff is +$3 per cap. It isn't available on beanies: beanies are embroidered flat on the cuff (or the front of uncuffed styles), front design only.
Do I get a proof?
Yes. Every order gets a free digital proof, and nothing gets stitched until you approve it.
Can I see it stitched on a real cap first?
Yes. Choose the stitched sample option and we'll stitch your design on a real cap and send you a photo before the full order. It's covered by the 50% deposit every order requires, which is due before the sample is stitched. Tick "Stitched sample" in the order builder.
What does digitizing cost?
A one-time $25 fee to turn your design into a stitch file. It's waived on orders of 24+ caps and on reorders.
Can I add a logo on the side or back?
Yes. The front is included. Left side, right side, or back: +$5 per cap per spot. Check the spots you want in the order builder and add notes (like a different name on each cap) and a design file for each.
Do you do rush orders?
Need it sooner? Rush production is available for an additional 30% of your order subtotal, subject to schedule availability. We'll confirm your rush date with your proof. Check Rush production in the order builder to see it in your total.
How long does it take?
Most orders are ready 3–4 weeks after you approve your proof. Need it sooner? Rush production is available for an additional 30% of your order subtotal, subject to schedule availability.
How do reorders work?
Your stitch file stays on file, so reorders have no digitizing fee. Just tell us it's a reorder.
What if my image is blurry?
Send it anyway. If your art is blurry, pixelated or hand-drawn, we can redraw it as clean vector art so it stitches sharp (art cleanup / vectorizing: +$20 per design, one time, not per cap). We'll tell you with your proof if your art needs cleanup, before any charge. You can also check Art cleanup / vectorizing in the order builder.
To avoid the art cleanup fee, send a clear, high-resolution image of exactly what you want embroidered. Blurry or pixelated images, screenshots, and overly detailed AI-generated images (tiny details, gradients, shading, photo-like effects) may need to be simplified for embroidery and may be subject to the $20 art cleanup / vectorizing fee. We'll always let you know with your proof before any fee is added.

Do you offer local pickup?
Yes. Local pickup in the Lubbock, TX area is free. Choose Local pickup in the order builder and we'll text/email the pickup spot when your order is ready. Not local? We ship anywhere in the US with a live USPS or UPS rate.
Do you offer fitted caps?
Yes. True fitted caps have a closed back and come in exact hat sizes, and we carry the Decky 402 fitted cap in sizes 6 3/4 to 7 5/8. To find your size, wrap a soft tape measure around your head about 1/8 inch above your eyebrows and ears, where a cap sits, and match it to this chart: 21 5/8 in (55 cm) = 6 7/8, 22 in (56 cm) = 7, 22 3/8 in (57 cm) = 7 1/8, 22 3/4 in (58 cm) = 7 1/4, 23 1/8 in (59 cm) = 7 3/8, 23 1/2 in (60 cm) = 7 1/2, 23 7/8 in (61 cm) = 7 5/8. If you are between sizes, choose the larger one. Stretch-fit caps such as the Flexfit 6277 and Richardson R-Flex 585 are different: they use S/M and L/XL sizing with a stretch band, and they use our normal 50% deposit. Fitted caps are sized to an exact hat size (e.g. 7 1/4) for the individual wearer and cannot be resold, so orders that include fitted caps require payment in full before production begins.
How does payment work?
Nothing is due when you send your request. A 50% deposit is required to begin every order. Once you approve your free digital proof, we'll send an invoice for the deposit, which secures your spot in the production schedule and covers sourcing your blank caps and materials. Production begins once the deposit is received. Once your deposit is received, you'll get a confirmation email and your order moves into production. The remaining balance (plus shipping, if selected) is due when your order is complete, before it ships or is picked up. Deposits are non-refundable once materials have been ordered. Fitted caps are sized to an exact hat size (e.g. 7 1/4) for the individual wearer and cannot be resold, so orders that include fitted caps require payment in full before production begins. We accept Cash App ($AndrewRaissez). Please wait for your deposit invoice before paying. How payment works
Can I cancel or get a refund?
You can cancel for a full refund of your deposit until we purchase the blank caps and materials for your order. After that, the 50% deposit is non-refundable. Because every piece is made to order, we can't accept returns or issue refunds once production starts. If we make a mistake, such as a misspelling or a placement that doesn't match your approved proof, we'll remake it at no cost. Read the full policy
Can I make changes after I approve my proof?
All design changes need to be made before you approve your proof. Your approval confirms the spelling, colors, size and placement, and once production starts we can't make further changes. Take your time reviewing the proof, and ask for as many revisions as you need before you approve it. Read the full policy
Will the thread colors match my screen exactly?
Very closely, but not always exactly. Thread colors can look slightly different in person than they do on a phone or computer screen, and that's a normal part of embroidery rather than a defect. If an exact color matters, mention it in your notes and we'll pick the closest thread available.
Will every detail of my design stitch?
Embroidery has limits on how small it can go. Very small text and fine details may be simplified so they stitch cleanly and stay readable, and any adjustments we make will be shown on your proof before you approve it.
Can you stitch any logo?
We can stitch designs you own or have permission to use. By ordering, you confirm that you have the rights to the artwork you send. We may decline designs that use trademarked or copyrighted material without permission, such as sports team, brand or character logos. Read the full policy
What if I don't pick up or pay for a finished order?
We'll let you know as soon as your order is ready. Orders that remain unpaid or unclaimed 30 days after completion are forfeited, and the deposit is not refunded. If you need more time, just reach out before the 30 days are up. Read the full policy
Can I bring my own cap?
At this time, we are unable to accept customer-supplied caps or garments. Because items can occasionally be damaged during the embroidery process, we only embroider blanks we source ourselves, so every order is covered by our quality guarantee. Choose from our cap styles, or pick “Other” in the order builder and we'll try to source the cap you have in mind.
The fine print, in plain English
Custom order policy
By submitting an order request, you agree to the terms below.
You approve first
Every order begins with a free digital proof, and nothing goes into production until you approve it. Please review the spelling, colors, size and placement carefully.
Design changes before approval
All design changes must be made before you approve your proof. Once production starts, no further changes can be made. You're welcome to request revisions until the proof is exactly right.
Your design, your rights
By placing an order, you confirm that you own the design or have permission to use it. We may decline any design that uses trademarked or copyrighted material without permission.
Small text & fine detail
Embroidery has a minimum level of detail. Very small text and fine details may be simplified so they stitch cleanly, and any changes will be shown on your proof.
Thread colors
Thread colors may vary slightly from how they appear on your screen, and blank caps can vary slightly between production batches. This is a normal part of embroidery, not a defect.
Deposit & cancellations
Every order requires a 50% deposit. If you cancel before we purchase your blank caps and materials, we'll refund your deposit in full. Once blanks and materials have been purchased, the deposit is non-refundable. If we've stitched a sample for you, the deposit covers it.
Fitted caps: paid in full
Fitted caps are sized to an exact hat size (e.g. 7 1/4) for the individual wearer and cannot be resold, so orders that include fitted caps require payment in full before production begins. Stretch-fit caps with S/M or L/XL sizing (like the Flexfit 6277 or Richardson 585) are not fitted caps and use the normal 50% deposit.
No returns or refunds once production starts
Because every order is made to order, we can't accept returns or issue refunds once production starts. If we make a mistake, such as a misspelling, incorrect placement or a defect that doesn't match your approved proof, we'll remake it at no cost to you.
Balance & unclaimed orders
The remaining balance (plus shipping, if selected) is due before your order ships or is picked up. Orders that remain unpaid or unclaimed 30 days after completion are forfeited, and the deposit is not refunded.
Customer-supplied items
At this time, we are unable to accept customer-supplied caps or garments. Because items can occasionally be damaged during the embroidery process, we only embroider blanks we source ourselves, so every order is covered by our quality guarantee.
